This Privacy Policy explains how Astrial Foundry, including but not limited to its developers, owners, licensors, partners, distributors, affiliates, contractors, successors, service providers, and operators (collectively, “we,” “us,” or “our”), collect, use, disclose, retain, transfer, and safeguard personal information when you access, use, or interact with the CareVoie website, web application, mobile application, software platform, and related services (collectively, the “Service”). This policy applies to all users of CareVoie, regardless of distribution channel, account type, or signup method.

By using the Service, you agree to the collection, use, disclosure, and handling of information as described in this Privacy Policy. If you do not agree with the terms of this Privacy Policy, you must not access or use the Service.

2. What We Collect

We may collect various types of information from or about you, your account, your device, your subscription activity, and your use of the Service, including but not limited to:

Login credentials, authentication-related information, password reset information, and account security information;
Caregiver care session, schedule, attendance, check-in, and check-out data, including related timestamps and status information;
Payment-related and subscription-related information, including plan selection, billing status, transaction metadata, renewal status, cancellation status, subscription events, processor confirmations, and related records; provided, however, that full payment card details may be collected and processed by third-party payment processors rather than stored directly by us;
Device information, such as device model, operating system version, browser type, app version, IP address, session identifiers, time zone, language, regional settings, and similar technical information;
System logs, diagnostics, crash information, usage logs, performance metrics, configuration data, and security-related records;
Cookie data, similar technologies, device/session data, and automated information about how you access and use the Service;
Information provided by account administrators, organizations, family members, Circle Members, members, caregivers, or other authorized users who create, manage, or administer accounts or scheduling records;
Communications, support requests, customer service interactions, and records relating to billing, support, compliance, fraud prevention, or account administration; and
Any other information reasonably necessary to operate the Service, comply with legal obligations, enforce our agreements, protect our rights, investigate abuse, improve the user experience, or support legitimate business operations.

We may collect information directly from you, automatically from your devices and usage of the Service, from account administrators or organizations that create or manage accounts, from subscription and payment-related interactions, and from other sources you authorize or that are otherwise lawfully available to us. We may combine information from different sources for the purposes described in this Privacy Policy.

Sending transactional communications, service notices, security alerts, account verification messages, password reset messages, billing notices, renewal or cancellation notices, and caregiver scheduling or attendance alerts by email, SMS, in-app notification, or other lawful means;
Responding to inquiries, providing customer support, and communicating with users, administrators, families, caregivers, or organizations;
Detecting, preventing, reviewing, and investigating fraud, abuse, unauthorized access, payment issues, suspicious behavior, security incidents, and violations of our Terms, including through internal reviews and automated tools;
Analyzing trends, usage patterns, feature adoption, subscription behavior, and performance metrics;
Operating analytics, profiling, business intelligence, product development, service improvement, personalization, marketing, and lawful business operations, subject to applicable law;

Protecting the rights, safety, security, and property of CareVoie, our users, families, caregivers, administrators, service providers, affiliates, or the public; and

We may aggregate, anonymize, or de-identify personal information and use such information for analytics, research, service improvement, product development, business operations, and any other lawful business purpose, provided the information is no longer reasonably linked to an identifiable person.

We may use cookies, pixels, SDKs, session tools, local storage, log files, and similar technologies to authenticate users, maintain sessions, provide functionality, enhance security, remember preferences, measure usage, conduct analytics, improve performance, support communications, and improve the Service. Retention periods may vary based on the type of data, its sensitivity, our legal obligations, operational needs, and applicable law.

Even after account closure, deletion requests, or account termination, we may retain backup data, archival data, system logs, security records, billing records, and other information for a period of time where reasonably necessary for legal compliance, legitimate business recordkeeping, fraud prevention, dispute resolution, audit purposes, security, or enforcement.

We may store, access, process, or transfer personal information in the United States and in other jurisdictions where we, our affiliates, contractors, or service providers operate. By using the Service, you understand that your information may be transferred to and processed in countries that may have data protection laws different from those in your jurisdiction, subject to applicable law.

Depending on your jurisdiction and to the extent required by applicable law, you may have rights regarding your personal information, which may include the right to request access to personal information we maintain about you, request correction of inaccurate information, request deletion of personal information, object to or restrict certain processing, withdraw consent where processing is based on consent, or request data portability.

If you provide personal information about another adult, including a family member, Circle Member, member, caregiver, administrator-managed user, or other person, you represent and warrant that you have provided such information with appropriate authorization, consent, instruction, or other valid legal basis, as applicable. You are responsible for ensuring that your collection and provision of such information to us complies with applicable law.

11. Children’s and Minors’ Privacy

The Service is not intended for use by individuals under 18 years of age. We do not knowingly permit minors under 18 to use the Service as general users. If we learn that we have collected personal information from a minor under 18 without appropriate authorization or lawful basis, we may delete that information and terminate the associated account or access.

We implement industry-standard and commercially reasonable measures intended to protect personal information from unauthorized access, use, disclosure, alteration, or destruction.
